How to Fax Without a Fax Machine

How can you fax with no machine and no phone line?

Because someone else keeps the machinery. An online fax provider maintains the connection to the telephone network, converts your PDF into fax page images, and dials the recipient. You interact with a web page; the analogue part happens in their data centre.

The receiving side does not know or care. A fax sent from a browser arrives on a 1998 desk machine exactly like one sent from another 1998 desk machine, because the protocol on the wire is unchanged. This matters when a clinic or a county office insists on "a real fax" — this is a real fax.

What are the options if you have no fax machine?

Four, in descending order of usefulness: a paid online fax service, a free one-off web fax tool, a print-and-ship store counter, and a public library. Only the first lets you receive faxes as well as send them.

1. A paid online fax service

You get your own fax number, a history of everything sent and received, and a delivery status per fax. This is the only option that works for a business, because businesses eventually need to receive something, and need to prove they sent something.

2. A free one-off web fax tool

FaxZero sends free to US and Canadian numbers: 3 pages plus a cover page, 5 free faxes a day, a CAPTCHA, and FaxZero's own branding printed on the cover. Its paid send is $3.29 per fax for up to 25 pages with no branding. GotFreeFax also offers free faxing to the US and Canada. Verified July 2026.

These are genuinely useful for one form, once. There is no account, no history, and no way to receive — and the branded cover page is inappropriate on anything that looks official.

3. A print and ship store

Staples, a UPS Store or an independent copy shop will fax from behind the counter. Bring the file on a USB stick or email it to yourself. It is the most expensive route per page and requires you to physically go there, but it needs nothing from you technically and gives you a printed confirmation. It cannot receive on your behalf.

4. A public library

Many US and Canadian library branches still have a fax service, sometimes free for a small number of pages, sometimes at a per-page charge. Availability varies branch to branch — phone ahead rather than driving over.

How do you receive a fax without a fax machine?

You need your own fax number from an online provider. Incoming faxes land in a web inbox and usually trigger an email notification. Stores and libraries will not receive faxes for you, and free one-off tools do not offer numbers at all.

This is the point where the free options stop being an answer. If anyone will ever need to fax you back — a pharmacy, a landlord, an insurer, a court clerk — you need a number, and a number means a paid account somewhere.

Can you fax without a phone line if you own a machine?

Not reliably. A fax machine needs an analogue line. Plugging one into VoIP phone service usually produces failed or garbled transmissions, because fax depends on precise tone timing that internet phone service does not preserve.

If you have a machine and no copper line, the practical answer is to stop using the machine and use an online service. Fax-over-IP adapters exist and sometimes work; troubleshooting them is a worse use of your afternoon than signing up for a web account.
